Privacy policy
Last updated: October 23, 2026
This policy explains what Krello collects, why, who sees it, and what you can ask us to do with it. It covers the Krello app at app.trykrello.com and this website. Krello is operated by Ka Yee Chan, a sole proprietor based in California, USA (“we”, “us”).
What we collect
- Your account. You sign in with Google, which gives us your name, email address and profile photo. We never see your Google password.
- People you add. When someone adds you to a workspace, or invites you to a meeting, by email, we keep that address so you can join.
- What you put in Krello. Everything in your workspaces: tasks and their steps and notes, events, routines, goals, projects, check-ins and journal notes, how you rate your life areas, docs, whiteboards, files and pictures, chats and comments. We also keep a history of changes (who did what, and when) and the coach’s notes.
- Meeting recordings and notes. On Krello Pro, meeting recordings, transcripts and notes, when a meeting’s host turns them on (below).
- Billing. Which workspaces you pay for, how many people are on each, whether payments went through, your invoices, and your card’s brand, last four digits and expiry date. Link holds your card; we never see its full number.
- Where you open the app from. Each time you open the app, we record the area your internet connection comes from, worked out from your IP address: the IP address itself, city, region, country, postal code and the rough coordinates of that area. We don’t collect your device’s precise location.
- How you use the app. An analytics provider records the pages you open, what you click, errors, and a replay of each visit in which every word you see or type is hidden and pictures are blocked. These records name you by an internal number, never by your name or email.
- Devices. If you turn on notifications on a device, we keep the address your browser’s push service gives us, with that device’s language and time zone.
Video calls run live through a video call provider. On Krello Pro, a meeting’s host can choose to record its call (its audio and video), to have AI meeting notes made (a transcript and a summary), or both. Each is off unless the host turns it on, and until then nothing is recorded. When one is on, everyone on the call is shown that it’s being recorded. Recordings, transcripts and notes are kept with the meeting in its workspace, readable by the people who can see the meeting, and download like any other file.
Cookies and browser storage
- The app uses a cookie to keep you signed in, a few short-lived cookies during sign-in, and cookies that remember preferences such as your language and how a view is laid out.
- Your browser’s storage keeps settings such as your theme, your colour and the timer, and small things the app needs, such as which suggestions you’ve answered.
- The app’s analytics uses no cookies and stores nothing on your device.
- This website has no analytics. It sets one cookie, only if you pick a language in its footer, to remember your choice.
We don’t track you across other websites, so we don’t respond to Do Not Track signals: there’s nothing for them to turn off.
How we use it
- To run Krello: show your workspaces to you and the people on them, send reminders and notifications, and connect video calls, recording them or making their notes when a host turns that on.
- To run the coach, which writes short notes about your tasks and plans (below).
- To bill you: your free trial, your weekly payments, and which workspaces are read-only.
- To answer you when you write to us.
- To keep Krello secure and working: spotting misuse, and finding and fixing errors.
- To improve Krello, from how people use it.
We don’t sell your personal information, we don’t share it for advertising, and Krello shows no ads.
The coach, meeting notes and AI
The coach reads a workspace and writes short notes on it. To write them, parts of that workspace are sent to the AI providers that power the coach: your name, your tasks’ titles, notes, steps and dates, their projects, and today’s goal. Your check-ins are never sent. The answers come back to Krello and are shown only on that workspace.
When a meeting’s host turns on meeting notes, the call’s audio is sent to the AI providers that power them, to transcribe and summarise it. The transcript and summary come back to Krello and are kept with the meeting.
Who sees your information
- People on the same workspace see everything in it, including your name, email address, photo, and whether you’re online.
- People invited to a meeting from outside a workspace see that meeting, who’s invited, its video call and its group chat, and nothing else.
- Public workspaces. Only we can make a workspace public, and we do it only for our own demo workspace. Anyone signed in to Krello can read a public workspace.
- Our service providers, who handle information only to provide their service to us: our hosting, database and file storage providers, an analytics provider, the AI providers that power the coach and meeting notes, a video call provider, and your browser’s push service.
- Link, which sells and processes your subscription (see our terms). Link handles your payment details under its own privacy policy.
- Google, when you sign in with it.
- The law. When the law requires it, or to protect someone’s safety or rights, or Krello’s.
We don’t look at what’s in your workspaces unless you ask us to, or we need to in order to keep Krello working, secure, or within the law.
How long we keep it
- A workspace’s content stays for as long as the workspace does. Deleting a workspace deletes everything in it, files included, for everyone on it, straight away.
- Meeting recordings, transcripts and notes stay until someone on the workspace deletes them, or the workspace is deleted.
- Your account stays until you ask us to delete it. Your first workspace can’t be deleted in the app: email us at toopeasy-support@gmail.com and we’ll delete your account and that workspace within 30 days. What you added to workspaces other people own can stay there, as part of their workspace.
- Where you opened the app from: each record is kept for 48 hours. Your latest one is kept until your account, or the workspace it was taken on, is deleted.
- Analytics are kept by our analytics provider for a limited time.
- Backups and logs kept by our providers, and backups we make before maintenance, can hold copies for a limited time after something is deleted.
Your rights
Wherever you live, you can ask us to show you the personal information we hold about you, send you a copy of it, correct it, delete it, or stop using it for a purpose you object to. Email toopeasy-support@gmail.com. We may need to check it’s you, and we’ll answer within 30 days. You can also change or delete most of what you put in Krello yourself, in the app.
In the European Union and the UK, we use your information to provide the service you signed up for (running Krello and billing you), for our legitimate interests (security, fixing errors, and improving Krello), with your consent where we ask for it (such as notifications on a device), and where the law requires. You can complain to your local data protection authority. We’re based in the United States, so your information is transferred to and processed there, where data protection law may differ from yours.
In California, you have the right to know what we collect, and to have it corrected or deleted, without being treated differently for asking. We don’t sell or share your personal information, as California law defines those words, and we don’t use it for targeted advertising.
Children
Krello isn’t for anyone under 16, and we don’t knowingly collect information from them. If you think someone under 16 has signed up, email us and we’ll delete their account.
Security
Krello is reached only over an encrypted connection, and each workspace’s information is shown only to the people on it. No service is perfectly secure, so we can’t promise it will never be breached.
Changes to this policy
When we change this policy, we change the date at the top. If a change matters, we’ll tell you in the app or by email before it applies.
